Common End-to-End Workflows

Use this example to follow one document through a normal project exchange. The exact buttons you see depend on your role and selected project.

Submitting Documents (Contractor to Consultant)

In this example, a contractor's Document Controller sends Drawing A-101 to a consultant for review.

  1. Open the Document Registry.
  2. Create or import Drawing A-101.
  3. Check its type and required fields.
  4. Select the document and choose Create Transmittal.
  5. Choose the consultant as receiver.
  6. Add a clear title.
  7. Select Send.

The consultant can now open the transmittal. Save a draft instead when your team must review the transmittal before it leaves your company. Read Send a Transmittal for every field and option.

Reviewing and Responding (Consultant)

The consultant's Document Controller receives Drawing A-101 in Action Required on the Dashboard. They can start an internal workflow when colleagues must review it first.

  1. Open the incoming transmittal.
  2. Select Respond.
  3. Set a decision for Drawing A-101.
  4. Add a comment or reviewed copy when it helps explain the decision.
  5. Select Send.

For this example, the consultant selects Revise and Resubmit and explains what needs to change. The contractor can now see the decision on the original transmittal. Read Send a Response for drafts, comments, response documents, and multi-document replies.

Resubmission After Rejection

The contractor reviews the consultant's comment and updates Drawing A-101. A resubmission starts with an empty document list, so choose the document or current version you intend to send. Use Replace only when you need to upload a new file; it creates a new version. Do not create a new revision unless the document itself needs a revision change.

  1. Open Send Resubmission.
  2. Select the original transmittal.
  3. Add the updated document or its current version.
  4. Check the pre-filled receivers and title.
  5. Select Send.

The consultant receives the resubmission and responds again. In this example, the consultant selects Approved. If that response status is configured to close documents, Mowafeq changes Drawing A-101 to Closed. Read Send a Resubmission for the full selection and replacement rules.

Part 3: Final Approval

This video completes the resubmission and shows the approved result.

Letter Communication

Use a letter when the team needs formal correspondence instead of a document response.

  1. Create a letter.
  2. Choose For Action when you need a reply, or For Information when the recipient only needs to confirm receipt.
  3. Send the letter.

The recipient finds it in Pending Letters on the Dashboard. They reply to a For Action letter or select Acknowledge for a For Information letter. Read Sending a Letter and Replying and Acknowledging.

Handling a Returned Transmittal

  1. The receiver selects Return for Modification.
  2. The sender reads the comment and updates the returned transmittal.
  3. The sender selects Send again.

The sender can instead supersede the returned transmittal and create a new one when that is clearer. See Lifecycle Actions for availability rules.
