What's New

Product updates to Mowafeq, newest first. Each entry is split into New, Changed, and Fixed, and every item names the area it affects so you can find what touches your work. The version beside each date is the Mowafeq release it shipped in — quote it if you ever report a problem.

Column filters you can share by link, registry rows that open like links with a Preview button beside them, and pending invitations on the Members page.

New

  • Documents & Transmittals — Filter columns. Filters opens a Filter columns panel that follows your project's registry columns, including custom fields.

    • Text columns match partial text; dates are typed as DD/MM/YYYY and match that exact day; the rest use dropdowns.
    • Filters combine with the search box and apply to every page of results, so counts and exports include every matching row.
    • In the Transmittal Registry, choosing a Document Type reveals its subfields, such as Discipline. Workflow Status can be filtered when its Filterable option is enabled in registry settings.
    • Clear removes one filter; Clear all removes them all but keeps the search.

  • Documents & Transmittals — Share a filtered view. The browser URL now holds the search, filters, sort, view, and page. Bookmark it, or send it to a colleague on the same project; they see only the records their own permissions allow. The Letters Registry keeps its per-tab memory only.

  • Registries — Open rows in a new tab. In the Document, Transmittal and Letters registries the reference number is a real link: Cmd/Ctrl-click, middle-click, or right-click → Open link in new tab all work. Each row also has an Open in new tab action — in the ⋮ menu for documents, and as a ↗ icon on hover for transmittals and letters.

  • Documents & Transmittals — Preview from the row. Hover a row and click Preview beside the reference number to open its file in a resizable pane beside the list, without leaving the registry.

    • The Transmittal Registry can now preview files too: Preview opens the exact revision that was transmitted.
    • The button shows the row's first PDF or image, and is hidden when the row has none. On phones and tablets it is always visible.

  • Administration — Pending invitations. Project Settings → Members has a Pending Invitations section below Active Members, listing people invited to the project who have not registered yet.

    • Resend sends a new link and resets the 7-day expiry; the old link stops working.
    • Revoke cancels the invitation after a confirmation.
    • Expired links stay listed, marked Link expired, and can be resent.

  • Transmittals — Remove existing additional files. When editing a saved draft or resubmitting a returned transmittal, existing additional files are listed by name with a Remove (×) button. Removals take effect when you save or send; leaving without saving keeps the files.

  • Documents — Clicking a row opens the document. In the Document Registry, clicking a row now opens the document's page instead of the preview pane. The preview pane opens from the row's Preview button or a file's eye icon. Double-clicking is no longer needed to open a document.

If you used row clicks to preview files

Clicking a row in the Document Registry now leaves the registry. To browse files side by side as before, hover the row and click Preview instead.

  • Transmittals — Documents tab, one line per row. On a transmittal you sent, the response details now sit in their own columns — Response, Responded in, and Response document — and reviewer comments open from a speech-bubble icon beside the status.

  • Transmittals — Responses and attached documents are separate. On a response transmittal, the Documents tab has a Responses table (each decision, the original document and any response document) and an Attached documents table listing only the documents included in the transmittal. Use Attached documents to select and download files.

  • Administration — Removing a member asks first. Remove on the Members page opens a confirmation showing the member's name and email. Access is revoked only when you confirm.

  • Profile — Simpler notification preferences. The email notification grid is replaced by one toggle per notification, grouped under Transmittals, Letters, and Workflows, that applies across all your current projects.

    • A count such as On in 5 of 6 projects and an amber toggle show when projects differ; clicking it turns that notification on everywhere.
    • Customize by project changes one project's notifications only.
    • Staff and admins see the same view when managing another user's preferences from the bell icon on the Members page.

Fixed

  • Transmittals — a saved response draft reopens with its documents and decisions instead of "No Documents to Respond To".
  • Administration — if an invitation email fails to send on Resend, the previous link keeps working and an error is shown.
  • Profile — project names no longer disappear from the notification preferences, and the controls fit narrow screens.

A new Document Analytics page, a Response Date column, project choice when inviting users, and layouts that work on phones.

New

  • Reports — Document Analytics. A page under Reports → Document Analytics showing how your company has responded to the documents it received, with a status chart and metrics for each document type.

    • Filter by document type, response status, received date, and whether to include superseded documents.
    • Tick Include combined overview for one chart across the selection.
    • Print / Save as PDF exports an A4 report of what is on screen.
    • The URL keeps your filters, so a view can be bookmarked or shared.

  • Dashboard — At a glance. A compact card showing Awaiting response, Overdue, and Responded this week, with a link to Document Analytics.

  • Documents — Response Date column. The Document Registry can show the date a response was submitted. It is empty while a document awaits a response. Date columns in the Excel export are now real dates.

  • Administration — Choose projects when inviting. The invite form has a searchable Projects field. From Project Settings → Members, only the current project is selected by default; from Company Settings, all of the company's projects are. Superusers can search the Company field by name or abbreviation.

  • All areas — Works on phones and tablets. Pages, tables, forms, and the PDF Editor toolbar now fit narrow screens. Wide tables scroll inside their cards.

Changed

  • Dashboard — The Document Responses card is replaced. Its date range, status chart, and metric tiles now live on Document Analytics, and the old report link opens that page with the same period. The Responses over time chart has been removed.

If you used the Document Responses card

The dashboard no longer has a date range or a trend chart. Use Reports → Document Analytics for filtered figures and PDF reports.

  • Administration — Project Settings and Company Settings swapped places.Project Settings is now under Administration in the sidebar. Company Settings is a link in the sidebar footer, next to Help & Support.

  • Transmittals — Awaiting documents show a dash. In the Transmittal Registry, a document still awaiting a response shows dashes in the Response columns instead of "Pending Response" or "Under Review".

Fixed

  • Transmittals — a document not covered by a partial response no longer shows another document's response, on screen or in the Excel export.
  • Transmittals — the Excel export shows each document's actual response status, and withdrawn responses as Cancelled.
  • Transmittals — searching by a response's number finds the transmittal it answers, and answered responses without documents now have a registry row.

Company Settings for company-wide administration, download selected documents as one zip, sortable columns across document tables, registries that remember where you were, and a rebuilt transmittal Documents tab. Duplicate reference numbers are now rejected.

New

  • Administration — Company Settings. A new company-wide administration home under Administration → Company Settings, independent of the selected project. It replaces the old Users admin page. Four sections, each with its own link:

    • Users — the company directory with search and an Active/Inactive filter. Invite, edit, and deactivate users. Each row shows the projects a user can access as badges, and a small edit control on the row changes project access in place — ticking a project saves immediately.
    • Company Profile — the company name and logo (PNG or JPEG up to 5 MB), with summary tiles for active users, pending invitations, and projects. The abbreviation is superuser-only because it feeds transmittal numbers. Changes appear in the Audit Log as Company Updated.
    • Stamps — the company stamp and the custom stamp library. These are the same stamps as on your profile page; either place manages them.
    • Projects — a read-only overview of the projects your company is on: role, primary flag, Launched/Onboarding status, and how many of your users are assigned, with a link into each project's Members settings.

    Document Controllers administer their own company. Superusers pick any company from the selector at the top of the settings sidebar. See Company Settings.

  • Documents — Download selected documents as one zip. Tick rows in the Document Registry and click Download to save their files as documents-<date>.zip, with one folder per document named after its reference number.

    • Only the ticked revision or version is included — earlier revisions and versions are not pulled in.
    • Documents with no files are skipped and listed in the confirmation.
    • Not available with "Select all matching"; pick specific rows.
    • The same Download selected action is on a transmittal's Documents tab. Rows with no downloadable file cannot be selected.
    • Hold Shift while ticking to select a range; press Esc or the ✕ to clear the selection.

  • Documents & Transmittals — Sort by any column. Click a column header to sort, click again to reverse. This now works on the Document Registry (Type, Creator, Response Status, Response Comment, and Superseded are newly sortable), the document History and Files tabs, a transmittal's Documents and Additional Files tabs, the Add Documents picker, the response-document picker, the selected-documents table on send and resubmission forms, and Search Additional Files.

  • Documents, Transmittals, Letters — Registries remember where you were. Open a document, transmittal, or letter and come back with the Back button or the sidebar, and your search, filters, sort, originator view, page size, and page number are still in place. This lasts for the browser tab: a new tab, switching project, or signing out starts you fresh.

  • Transmittals — Documents tab rebuilt around responses. Everything a response carries is now shown in place; the expand arrows are gone.

    • The response column is headed for your side of the exchange: Response Received on a transmittal you sent, Response Issued on a response transmittal.
    • Under each status badge on a sent transmittal: "↩ Responded in TR-101" linking the response transmittal, a Response Document chip that opens the marked-up copy with view and download icons beside it, and the reviewer's comment.
    • Filter chips above the table — All plus one per response status, including Awaiting response — replace the footer summary bar.
    • On a response transmittal, a row that is the response document shows a version chain (A v1 → v2), a "↩ Responding to TR-100" strip links the parent, and documents answered without a response document still get a row marked "Verdict only", so the count always matches the rows.

  • Documents — Response Document on the document page. The Response Status card now has a Response Document row: a link to the marked-up copy with view and download icons beside it, or "No response document attached" when the verdict came back alone.

  • Administration — Drag to reorder fields and options in Document Types. Each field has a grip handle, and each option under a field has its own, for reordering that field's dropdown.

    • Unlike reordering the types themselves, this is only saved when you press Save; Cancel discards it.
    • The saved order is used on the document creation and edit forms, the registry's type filters, and the bulk-import column mapping.
    • Reordering never changes generated reference numbers.
    • Also available in the onboarding wizard's document types step.

Changed

  • Documents — Duplicate reference numbers are rejected. Within a project, a new document can no longer reuse an existing document's reference — when creating, editing, or bulk importing, and even in projects with numbering switched off. Letter case and surrounding spaces do not make a reference unique.

    • Revisions and versions of the same document share its reference as before, but every version must keep its revision's reference.
    • A root document's reference becomes read-only once it has versions.
    • Existing duplicate records are untouched: they stay in the registry with their files and history, and their other fields remain editable.
    • If a root's serial is corrected (say 006 to 005), future revisions follow the corrected number.
    • Deleting the latest version makes the previous version Current again.

If you created revisions as separate documents

Entering a reference that already exists now stops with "This reference cannot be used because a document with the same reference already exists in this project." Open the existing document and use New Revision or New Version in its History card instead. Bulk-import rows that reuse a reference are rejected at the validation step with the same guidance.

  • Documents & Transmittals — Manual reference entry is a text action. The pencil icon on the reference preview is now a quiet Enter manually link, and the ✕ is Use auto-generated. Labels read "(Auto-generated)" and "(Manual override)". This applies to the Add Document form, the transmittal form, and the draft submit dialog. Nothing else changed: the "Expected next" hint, the amber mismatch notice, and the out-of-sequence confirmation are as before.

  • Documents — The bulk-actions toolbar takes the place of the All / Sent / Received toggle while rows are selected, so the table no longer jumps. Create Transmittal and Download are buttons; Respond and Delete have moved into the ⋮ menu at the right end.

  • Documents — The registry table scrolls inside its card. Column headers stay pinned and pagination stays at the bottom of the card instead of the whole page scrolling.

  • Transmittals — Additional files and documents sit behind collapsed links. On the send and resubmission forms, the upload area is a small Additional files (optional) link beneath the document list, with an ⓘ hint; it stays open with a count once files are attached. On the response board, the "Also include with this response" card is now two separate rows — Include additional documents (optional) for registry documents and Additional files (optional) for miscellaneous files — so the two are no longer mixed up.

  • Transmittals — "Upload reviewed copies" is a toolbar button. The dashed "Drop reviewed copies here" strip above the response board is gone; the button sits beside the All / Awaiting / Done tabs. Dropping files anywhere on the board still works.

  • Transmittals — Search Additional Files sorts by column. The single Newest/Oldest toggle has been removed. Click the File, Transmittal, Uploaded By, Uploaded, or Size header instead; the default is Uploaded, newest first, and sorting returns you to page 1.

  • Dashboard — The Document Responses report fits one A4 page. The header is a single line, the donut has a legend with counts and shares beside it, the four metric tiles sit in a grid to its right, and the trend chart notes its granularity. The separate status table has been removed; the legend carries those numbers.

  • Administration — The Users page has moved into Company Settings.Project Settings → Members remains the project-level view and now points you to Company Settings for company-wide users, invitations, and cross-project access. The notification bell on a user's row is available in both places.

  • Administration — Switching project with unsaved settings asks first. You are asked to discard unsaved edits before the active project changes. Cancel keeps the project and your edits; saved settings switch without a prompt.

Fixed

  • Documents, Transmittals, Letters — actions no longer fail with a permission error after the browser has been open a long time; the page recovers on its own instead of needing a sign-out and sign-in.
  • Transmittals — in the Add Documents picker, filtering by tag and ticking the header checkbox now selects every matching document, not only the first 20.
  • Documents — the registry no longer leaves an empty area below its table, and a row's actions menu no longer floats away from its row.
  • Transmittals — on a response transmittal, the Documents tab no longer labels rows as a "response from" the transmittal you are looking at, and the Response Document link no longer points back at the same row.
  • Administration — switching project from Project Settings now updates the home page too; the dashboard used to stay on the previous project.

A fix for completing registration from an invitation link.

Fixed

  • Registration — Completing registration from an invitation link no longer fails with a generic "Registration failed" message. This affected anyone whose browser already had an active Mowafeq session (for example, an administrator testing an invite link while logged in). Error messages on that page now also say what actually went wrong, so they can be shared with support.

Attach all reviewed copies to a transmittal response in one drag; review workflows now close themselves; six fixes.

New

  • Transmittals — Attach every reviewed copy in bulk when responding. Reviewers' marked-up files used to be linked one document row at a time — open the row, Link response doc, New version, upload — so twenty documents meant twenty repetitions. Most teams attached commented files loosely to the transmittal instead, where they could not be found from the document itself. Now:

    • Drag all reviewed files onto the response board at once, or browse from the "Drop reviewed copies here" strip.
    • Each file is matched to a document by the reference number in its file name. Matching ignores case and punctuation, so C2025-13-MM-CSCJV-RPT-021_commented.pdf matches document C2025/13-MM-CSCJV-RPT-021.
    • Nothing is saved until you confirm. A review table shows each file's matched document with a confidence badge — exact, likely, or none — and you can reassign any file to a different document or skip it. Unassigned files are skipped.
    • On confirm, each file is stored as a new version of its document and linked as that document's response — exactly what the per-row action does, just batched. Progress is shown per file, and one failed file does not stop the rest.
    • Document rows that already have a response are left untouched.

Changed

  • Workflows — Review workflows now close themselves. The Auto-complete trigger dropdown is gone, along with its template field and the "Auto-closes:" line on the workflow card. There is nothing to configure — a workflow completes as soon as the correspondence no longer needs it:

    • Transmittal sent — completes the sender's workflow only. Receivers' workflows continue, since their review starts at that point.
    • Every document on a transmittal has a response — completes every firm's workflow on it. A partial response has no effect; the final one closes them.
    • Transmittal closed, superseded or withdrawn — completes every firm's workflow on it.
    • Letter acknowledged, or a reply sent — completes every firm's workflow on it.

    A workflow only reacts to events that happen after it starts, so one begun on an already-sent transmittal continues normally. When a workflow closes this way its status reads Completed and any still-open step is marked Skipped with the reason "Auto-completed: …", so the audit log still distinguishes this from a controller skipping a step by hand. And because a document carries a single response, a document appearing on several transmittals is answered once for all of them.

If you used the "Manual" trigger

Workflows you kept open deliberately will now close on the events above — they may finish earlier than you expect.

Fixed

  • Transmittals — a resubmission covering several original transmittals now names all of them in its title and cover sheet, not just the first.
  • Transmittals — the "Resubmitting:" summary line and the Resubmission Of card now show each parent transmittal's title instead of only a count.
  • Transmittals — long titles now wrap instead of overflowing their container.
  • Workflows — the workflow badge in the transmittal header now shows that workflow's own status rather than a stale one.
  • Workflows — starting a workflow from a preset template now previews the template's ordered steps, participants, and instructions before it begins.
  • Documents — fewer slow requests and interruptions during large imports, after server reliability work.
